Outside
Sources of Funding
One of the ways that student organizations can increase the funds available
to support their activities is through fundraising. As a University Student
Organization, your group has limited ability to approach outside entities
for contributions to support your activities using the University's not-for-profit
501(c)3 status. You can do some fundraising on your own; however, certain
fundraising activities require University approval.
Sport Club can increase the funds available to support their activities
through fund raising. As a University Student Sport Clubs, your group
has limited ability to approach outside entities for contributions to
support your activities using the University's not-for-profit 501(c) 3
status.
The University can work with you to plan your fund raising approach and
identify groups you might contact for support.
If you would like to pursue outside sources of funding, clubs are
required to have written approval from the Assistant Chair of Sport Clubs.
- The University has an established solicitation code that applies to
all university operations.
- Fund raising plans must be discussed at least one month in advance
with the Assistant Chair Intramural, Recreation, and Sport Clubs.
- For other events, such as golf outings or camps, advance planning
is necessary to ensure the success of the fund-raiser.
- Any large-scale fund-raiser needs to have the commitment of the entire
club.
- All monies raised must be placed in a university account for the club.
- All donations in the form of equipment, uniforms, etc. become the
property of the University, not the individual club or members.
- Fund Raising Activities (Non-approval
by Assistant Chair Intramural, Recreation, Sport Clubs)
- Sell items in the Reynolds Club Marketplace (call Tim Banks at 834-0858
to reserve space)
- Sell program ads or ask local businesses for small amounts of support
($500 or less)
- Ask local businesses to make in-kind donations (food, supplies, etc.)

- Fund Raising Activities (Require Director/University
Approval)
- Use of University Name (especially on
all promotional material)
- Sell program ads or ask local businesses for small amounts of support
($250 or more)
Ask local businesses to make in-kind donations (food, supplies, etc.)
- Solicitation of Alumni for monetary support gifts, donations or in-kind
contributions.
- All clubs are prohibited from using the University name to collect
money or donations without advance approval of the Office of Intramural,
Recreation, and Sport Clubs. Failure to comply will cause disciplinary
action to be taken. Plan far in advance so that necessary university
approval can be obtained
- You must see the Assistant Chair Intramural, Recreation, Sport Club
before doing any of the following:
- Ask a company to be a major event sponsor or co-sponsor (this requires
a special co-sponsorship form that you must get from your advisor)
- Apply for certain non-University grants
- Contact your group's alumni, friends, and parents to ask them for
support

- Procedures for Fundraising
Contacting Assistant Chair Intramural, Recreation, Sport Club for advice
on how to approach the companies and a list of contact information for
local businesses, list of alumni. The Assistant Chair can do the following:
- track and obtain lists and addresses of alumni interested in your
group
- provide resource guide with lists of foundations and corporations
and information on the types of support they will provide.
- provide sample letters and proposals
- provide approval for the fund raising activities that require University
approval
- a system of accounting for all contributions and expenses must be
filed at the completion of the fund-raiser
Additional Strategies
Offering local businesses public recognition in exchange for their gifts.
Companies are more likely to make a donation if they receive recognition
on posters, in programs, etc. We strongly urge you to send a thank you
letter to the business that provides you support. A thank you letter can
go a long way to encourage the business to donate in the future.
- Gifts/Donations on Behalf of the Organizations
- Groups may accept gift donations made by parents, alumni, and friends
of University of Chicago.
- All monies that are gifts shall be made out to the University of Chicago
(club name) and must be deposited into the University of Chicago Sport
Club Accounts.
- If the company wants the gift to be officially acknowledged by the
University for Tax Purposes then Process your gifts so that the donor
receives a University of Chicago receipt for tax purposes. These forms
can be acquired from the Assistant Chair Intramural, Recreation, and
Sport Clubs.
